Cancellation, Expiration, Freeze & Refund Policy

Standard Lesson Duration

Regular 1-on-1 and Group lessons are 50 minutes long. Diagnostic Trial Lessons are 40 minutes long.

Free Rescheduling / Cancellation (12+ Hours Notice)

Students may reschedule or cancel a booked 1-on-1 lesson free of charge through their Novilingua Student Dashboard at least twelve (12) hours prior to the scheduled lesson start time. The lesson credit will remain in the Student’s balance.

Late Cancellation (<12 Hours Notice)

Any cancellation or rescheduling request made less than twelve (12) hours before the scheduled start time is considered a Late Cancellation. Because the Teacher’s time slot was reserved exclusively for the Student, the lesson credit will be deducted in full from the Student’s package balance.

Student No-Show (15-Minute Rule)

If a Student fails to join the video classroom within the first fifteen (15) minutes of the scheduled start time, the Teacher is entitled to end the session. The lesson will be marked as a Completed/No-Show session and deducted in full from the Student’s balance.

Teacher Cancellation or Technical Fault

If a lesson cannot take place due to a Teacher’s absence or a verified technical failure of the Novilingua platform, the lesson credit will be restored in full, and an additional three (3) days will be added to the Student’s package validity period at no cost.

Package Expiration Periods

To ensure consistent language progress and Teacher schedule availability, all 1-on-1 discounted lesson packages have a fixed validity period starting from the date of the first scheduled lesson (or seven (7) calendar days after purchase, whichever occurs first):

Expiration of Unused Credits

Lesson credits must be used within the applicable package validity period (plus any active Freeze days). Unused lesson credits that pass their expiration date automatically expire and cannot be carried over or refunded.

Complimentary Basic Freeze (4 Days/Month)

Active Students may pause (“Freeze”) their package validity period once per calendar month for up to four (4) days free of charge ($0 USD) via their Student Dashboard, provided the Freeze is activated at least 12 hours before any scheduled lesson.

Extended Freeze Service ($10 USD Add-On)

Students requiring a longer pause may purchase an Extended Freeze of up to ten (+10) additional days per calendar month (for a maximum combined Freeze of 14 days per month) for a one-time fee of $10.00 USD.

Recurring Billing & Automatic Balance Reload Authorization

By purchasing a lesson package or membership on Novilingua, you expressly authorize Novilingua to store your payment method and automatically charge the then-current rate of your selected package (“Automatic Renewal & Balance Reload”). To prevent learning interruptions and maintain your reserved schedule with your Teacher, 1-on-1 packages automatically renew and reload under a hybrid trigger (whichever occurs first):

• (a)Balance Reload Trigger (Threshold Billing): Immediately upon completion of your second-to-last lesson (when exactly one (1) lesson credit remains in your package balance); OR
• (b)Expiration Trigger (Time-Based Billing): On the final day of your current package validity period.

Advance Notification

Novilingua sends an automated notification via Email and/or Telegram prior to an expiration-based renewal or immediately upon reaching the 1-lesson balance reload threshold.

How to Cancel Automatic Renewal / Balance Reload

You may disable Automatic Renewal & Balance Reload at any time with one click in your Student Dashboard settings at least twenty-four (24) hours prior to the next renewal/reload trigger, or by contacting customer support. Disabling automatic renewal stops all future charges while allowing you to use your remaining valid lesson credits until their expiration date.

Unused Packages (100% Full Refund within 14 Days)

In accordance with consumer protection laws, if you request a refund within fourteen (14) calendar days of your initial purchase (or within forty-eight (48) hours of an automatic renewal / balance reload charge) and you have NOT attended, scheduled within 12 hours, or late-canceled any lessons from that package, you are entitled to a 100% full refund of the transaction amount with no fees deducted (or, at your option, a complimentary 14-day Extended Freeze).

Partially Used Packages (Recalculation at Standard Single-Lesson Rate within 14 Days)

By booking or attending a lesson within the first 14 days of purchase, you expressly request immediate performance of the service. Because 1-on-1 packages are sold at a volume discount compared to Novilingua’s Standard Single-Lesson Rate of $30.00 USD per 50-minute lesson, if you request a refund within fourteen (14) calendar days of purchase after using one or more lesson credits, the completed or deducted lessons (including Late Cancellations and No-Shows) will be recalculated at the Standard Single-Lesson Rate of $30.00 USD per lesson:

Refund Amount = Total Amount Paid − (Completed/Deducted Lessons × $30.00 USD)

If the value of completed/deducted lessons at the Standard Single-Lesson Rate equals or exceeds the Total Amount Paid, no refund is due.

Requests After 14 Days

No refunds are issued once fourteen (14) calendar days have elapsed from the date of the transaction. Students may request a free Teacher reassignment at any time.

Diagnostic Trial Lesson ($9.00 USD)

You may cancel your Diagnostic Trial Lesson and receive a 100% full refund ($9.00 USD) at any time prior to the delivery of the service (before the scheduled Trial Lesson start time). Once the Trial Lesson service has been rendered (completed) or if the Student fails to attend the scheduled session without prior cancellation (No-Show), the $9.00 USD fee is non-refundable. A Trial Lesson may also be rescheduled prior to its start time at no cost.

Novilingua Telegram Language Club ($10.00 USD/month — Digital Content Waiver)

In accordance with digital consumer protection regulations (including the EU Consumer Rights Directive), by purchasing a membership and receiving instant access (via invitation link) to our private Telegram community and digital learning materials, you expressly consent to the immediate performance of the digital contract and acknowledge that you thereby lose your statutory right of withdrawal (refund) for the current 30-day billing period once access is granted. You may cancel future monthly renewals at any time before the next billing cycle.

Group Courses ($96.00 USD / 8 Lessons)

Because Group Courses run on a fixed schedule with strictly limited seats (maximum 5–6 students per cohort), a 100% full refund is available if requested at least forty-eight (48) hours before the first scheduled session of the cohort. Once the 48-hour window prior to cohort start begins, Group Course fees are non-refundable, and any live sessions missed by a Student are compensated with full video recordings and lesson materials.

Extended Freeze Add-On ($10.00 USD)

Because the Extended Freeze immediately extends the Student’s package validity period upon activation, this service is fully performed at the moment of activation and is non-refundable.

Refund Processing Time

Approved refunds are credited back in full to the original payment method within 5 to 10 business days, depending on your card issuer.
